The Fee Is Never the Issue. The Delay Is.

Standard commercial contracts hold 5–10% retainage until the owner accepts the final closeout package. On a $1.5M mechanical scope, that's $75,000–$150,000 sitting in your owner's account. Every week that money isn't released is a week it isn't in yours.

$50K–$100K
Typical retainage on $1M scope
At 5–10% standard holdback
~$115–$230
Carrying cost per week
At 6% APR on $100K retainage
$1,500–$3,500
Cost to close it out properly
Flat fee. Scope confirmed first.

A Priority package at $2,500 pays for itself in carrying cost savings if it accelerates your retainage release by 2 weeks on a $1M contract.

Simple Pricing. No Hourly Billing. No Surprises.

Three tiers. Same deliverables. The only difference is how fast you need it.

Every Package. Every Tier. Same Deliverables.

You're not paying more for better outputs. You're paying more for faster delivery. Here's what's in every package regardless of which tier you choose.

Master Closeout PDF

Searchable, bookmarked, division-indexed PDF your owner can navigate without a guide. Built to CSI MasterFormat division structure, the format architects and facility managers expect.

Equipment & Warranty Register

Every piece of installed equipment: manufacturer, model, serial number, warranty dates, and document source. The register your owner's FM team will reference for the next 20 years.

Deficiency Report

Every missing item, organized by division and severity. You know exactly what's absent before you submit, so there are no surprises from the architect. Required items marked critical; nice-to-haves marked informational.

Project Summary Memo

One-page executive summary showing project scope, division coverage, total document count, and overall package readiness. The first page your owner sees. Written to pass the 30-second desk review.

Complete Digital Bundle (ZIP)

Every output file bundled in a single ZIP archive, delivered via secure tokenized link. Your GC can share the link directly with the owner or architect; no email attachment size limits, no shared drives.

Client Delivery Portal

Your owner receives a secure, branded delivery page to download individual files or the full bundle. First download is auto-acknowledged for your records.

Add-Ons

Available after scope review. Not required to start.

Revision Round

$750

One additional upload-and-reprocess cycle: add documents you've since received, update the equipment register, regenerate the deficiency report. Available within 60 days of delivery.

Additional Divisions

By quote

Projects with more than 6 divisions or highly complex scope (healthcare, data centers, mission-critical MEP) are quoted based on document volume and division count.

Physical Binder Set

$350 + shipping

Printed and tabbed closeout binder matching the digital package. Owner keeps it on-site. Delivered via FedEx to the project address.

What Doing It Yourself Actually Costs

Most GC PMs underestimate what assembling a commercial closeout package takes. Here's a realistic breakdown based on a 4-division MEP project.

Chasing documents from 6–10 subs (emails, calls, follow-ups)
8–15 hrs
$800–$1,500
Sorting and renaming hundreds of PDFs
6–10 hrs
$600–$1,000
Identifying what's missing vs. what's required per division
8–12 hrs
$800–$1,200
Assembling and formatting the master PDF
6–10 hrs
$600–$1,000
Building the equipment register from document content
6–8 hrs
$600–$800
Owner rejection and redo (happens on first submissions ~40% of the time)
10–20 hrs
$1,000–$2,000
Total PM time investment (at $100/hr):
$4,400 – $7,500
Plus the carrying cost of the additional weeks it takes. Versus $1,500–$3,500 to have it done correctly in 1–10 days.

PM time estimated at $100/hr loaded cost. Owner rejection rate based on industry experience. Actual costs vary by project complexity.

Pricing Questions

What GC PMs ask most often before committing.

What's included in every package regardless of tier?
Every tier, Complete, Priority, and Critical, delivers the same set of outputs: master closeout PDF, equipment and warranty register, deficiency report, project summary memo, and a complete digital bundle. The difference between tiers is turnaround speed and queue priority, not the quality or completeness of the deliverables.
Does the price change if I have more documents or more divisions?
The base fee covers a standard commercial project with up to 6 divisions and a reasonable document volume. Projects with significantly more divisions or unusually complex scope may carry an add-on fee; we confirm this when we review your intake before charging anything.
When do I pay?
You submit your project details first. We review scope and turnaround, then confirm the fee before you pay. No charge until we agree on scope. Payment is processed via Stripe before we begin assembly.
What if I upload additional documents after delivery?
One assembly pass is included. If you obtain missing documents after delivery, such as a late TAB report, a fire pump acceptance test, or a contractor warranty letter, a revision round is available for $750 flat. Revision rounds can be opened within 60 days of delivery.
Can I upgrade from Complete to Priority after I've already started?
If your project hasn't entered production yet, yes; contact us and we'll apply the difference. Once assembly has begun, upgrades aren't possible.
Do you offer refunds?
If we determine after intake that we can't process your project, you'll receive a full refund before assembly begins. Once a package has been delivered, refunds aren't available; but if something is wrong with the package, contact us and we'll make it right.

Scope confirmed before you pay.
No commitment to start.

Tell us about your project. We'll review your scope, confirm the fee, and let you know if we're a fit, before you pay anything.
